This Policy explains how we collect, use, share, and protect information for our youth and family programs and for visitors to our website. We provide non-clinical educational and community services; we are not a medical or behavioral health provider.
2) The information we collect
We collect only what we need to run programs safely and effectively.
Provided by a parent/guardian (required for minors):

Parent/guardian name, email, phone, address, emergency contact.

Child participant information: name, age/grade, allergies or relevant notes for safety, authorized pick-up persons, attendance.

Signed consents/waivers and enrollment preferences.
Program & payment records:

Registration history, rosters, schedules, incident/accident reports.

Fee status and receipts. We do not store full payment card numbers; payments are processed by third-party processors.
Photos/Video (optional):

Only with prior written consent from a parent/guardian.
Website & device data:

Basic logs, IP address, and cookies for security, performance, and analytics (see Cookie Policy).

We do not engage in behavior-based advertising.
3) Children’s privacy
We do not knowingly collect personal information directly from children under 13 through the website. A parent/guardian must provide and manage the child’s information and consents.
If you believe a child submitted data to us without appropriate consent, contact [email protected] and we will delete it.

5) Legal bases

We do not request Social Security numbers or highly sensitive identifiers.

We are not a HIPAA-covered entity; do not send detailed medical records to us. Provide only safety-relevant notes needed for participation.

Staff do not maintain private messaging with minors via personal accounts.

We do not sell or rent personal information. We share only as necessary:

8) Retention
We keep records only as long as needed for program, legal, and safety purposes—typically up to 7 years after the program year—then delete or de-identify them. Photos/video kept with consent may be retained until consent is withdrawn or the purpose ends.

Access/Update: Request a copy or correction of your or your child’s information.

Withdraw consent: You may withdraw non-essential consents (e.g., media, optional communications).

Delete: Request deletion where law allows; some records must be retained for safety/compliance.
