1) Scope

This Policy explains how we collect, use, share, and protect information for our youth and family programs and for visitors to our website. We provide non-clinical educational and community services; we are not a medical or behavioral health provider.

2) The information we collect

We collect only what we need to run programs safely and effectively.

Provided by a parent/guardian (required for minors):

  • Parent/guardian name, email, phone, address, emergency contact.

  • Child participant information: name, age/grade, allergies or relevant notes for safety, authorized pick-up persons, attendance.

  • Signed consents/waivers and enrollment preferences.

Program & payment records:

  • Registration history, rosters, schedules, incident/accident reports.

  • Fee status and receipts. We do not store full payment card numbers; payments are processed by third-party processors.

Photos/Video (optional):

  • Only with prior written consent from a parent/guardian.

Website & device data:

  • Basic logs, IP address, and cookies for security, performance, and analytics (see Cookie Policy).

  • We do not engage in behavior-based advertising.

3) Children’s privacy

We do not knowingly collect personal information directly from children under 13 through the website. A parent/guardian must provide and manage the child’s information and consents.
If you believe a child submitted data to us without appropriate consent, contact [email protected] and we will delete it.

4) How we use information

  • Enroll participants; verify authorized pick-up; maintain attendance.

  • Plan for safety (e.g., allergy awareness) and respond to incidents.

  • Communicate schedules, updates, and program changes.

  • Process payments and maintain financial records.

  • Comply with legal duties (e.g., incident reporting, mandatory reporting obligations).

  • Improve programs, sites, and accessibility; compile de-identified statistics.

  • With your optional consent, share program news or opportunities. You may opt out at any time.

5) Legal bases

Depending on the context, we rely on: consent (you sign forms), contract (registration agreement), legitimate interests (program operation and security), and legal obligations (child protection, safety, tax/records).

6) What we do not collect or how we limit it

  • We do not request Social Security numbers or highly sensitive identifiers.

  • We are not a HIPAA-covered entity; do not send detailed medical records to us. Provide only safety-relevant notes needed for participation.

  • Staff do not maintain private messaging with minors via personal accounts.

7) Sharing information

We do not sell or rent personal information. We share only as necessary:

  • Service providers: payment processors, email/SMS platforms, secure data hosts—under confidentiality agreements.

  • Program partners/vendors: when a specific activity is delivered with a vetted partner, on a need-to-know basis.

  • Legal & safety: with law enforcement/child-protection agencies when required; to protect participants, staff, or the public; to comply with court orders or applicable laws.

  • Aggregated/De-identified data: may be used for reports and quality improvement.

8) Retention

We keep records only as long as needed for program, legal, and safety purposes—typically up to 7 years after the program year—then delete or de-identify them. Photos/video kept with consent may be retained until consent is withdrawn or the purpose ends.

9) Your choices & requests

  • Access/Update: Request a copy or correction of your or your child’s information.

  • Withdraw consent: You may withdraw non-essential consents (e.g., media, optional communications).

  • Delete: Request deletion where law allows; some records must be retained for safety/compliance.

  • Marketing: Opt out of non-essential email/SMS at any time.
    Submit requests to [email protected]. We may need to verify your identity and relationship to the child.

11) Security

Payments are processed by third-party payment processors. They receive the information necessary to process your payment. We do not store full card numbers on our systems.
